    1. BASIC WORD SEARCH

      To perform a Basic Word Search enter criteria into the search bar. Example, Pam Smith, and then click on the magnifying glass to perform Search. The best way to search is by Grantee and/or Grantor name, document number(2017-####) and/or vol/pg(###/###). If you wish to find an exact name then click on the Advanced Word and Full Name Search button and enter in the name with quotation marks. Example "Smith Pam". Click on Help to view Search Tutorials for more details.

      (Note: Names for Real Property records are indexed Last name, First name, Middle Name or Middle Initial, Surname)

      Documents can be searched by Book/Volume/Page in various departments when available. For Real Property searches, Enter Book/Volume/Page or Volume/Page, click on the Book/Volume/Page check box, and then click on the magnifying glass to perform search. Example, RP/4573/1026 or 4573/1026. RP is Book, 4573 is Volume, and 1026 is Page. For Plat departments enter Book/Volume/Page or Volume/Page, click on the Book/Volume/Page check box, and then click on the magnify glass to perform search. Example, PL/Y/386 or Y/386. PL is Book, Y is Volume, and 386 is Page.

      Searching by address may not always bring back results. Searching by Legal Description is supported. A Legal Description includes Subdivision, Lot, and Block.To search by Legal Description type in criteria Subdivision, Lot, and Block. Example, Subdivision Harriet CRE Lot 8 Block 22. (Note: If you do not know your subdivision information please contact your local central appraisal district.)

      Assumed Names often reffered to as DBAs (Doing Business As), ficticious names, or trade names can be searched for as well. The easiest way to search is to search by business or owner name to see if a Assumed Name already exist that you wish to use.

      1. ADDITIONAL SEARCH OPTIONS

      To narrow down search results users may use additional search options. Additional search option is open by default. Please pay attention that set of additional search options may differ for different departments. If Names checkbox in Search Multi Select is checked the search is performed by parties of the document only. Parties include both grantors and grantees. If search has to be performed by grantors (or grantees) only, check Grantor/Grantee in Party Type Multi Select (Names will be checked in Search Multi Select automatically).
      1.1 AND/OR operators
      When searching for two or more words user can use AND or OR search operators. By default search is performed using AND operator.
      1.1a AND operator
      AND operator links two or more search criteria together and looks for a document that contains all of them. Example, Bank of America DONLEY G D, search results will find all documents with the names Bank of America and DONLEY G D.
      1.1b OR operator
      If user needs to find a document that contains at least one of search criteria, then search operator must be switched to OR.
      1.1c RECENT SEARCHES
      User can see the list of 10 recently performed search queries within a specific department by clicking on Recent Searches button. User can click on any query from the shown list to execute it again.

      ADVANCED WORD AND FULL NAME SEARCH

      Users can search using advanced options.

      Selecting Advanced Word and Full Name Search now splits searching into two fields. The top field is the Document Detail Search field where you can enter Document Numbers, Document Types, Book/Page, and Partial Legal Descriptions. The second field is the Name Search field to search against party names in the database. Party names such as grantors and grantees are commonly known as buyers and sellers.

      Select the Search Using Type Ahead checkbox to use the predictive search feature. This feature will help you by predicting a name you may be searching for as you type in the name. Deselect the Search Using Type Ahead checkbox to disable the feature and to use other advanced options below.

      To search an exact name click on the Advanced Word and Full Name Search button and enter in the name with quotation marks. Example "Smith Pam". Click on Help to view Search Tutorials for more details.

      ASN = Association
      CO = Company
      CORP = Corporation
      INC = Incorporated
      NA = National Association (only in connection with a Bank or Lending Institute
      LLC = Limited Liability Company
      MED = Medical
      LP = Limited Partnership

       

      Results can be narrowed by Document Groups.To search a name within a document group enter a name in the search bar and choose a Document group check box. Example, First National Bank and click on Document Type check box "Federal Tax Liens." Results will show all First National Bank names within Federal Tax Lien group.

      To search by exact name and a specific document type enter in the exact name in quotation marks and add the document type. Example, "Smith Pam" Warranty Deed. Results will show exact name, Smith Pam, that are Warranty Deeds.

       (Note: In Advanced mode the system ignores AND/OR radio buttons.)
      2.1 WILDCARD SEARCH
      Advanced Search supports single and multiple character wildcard searches within single terms (not within phrase queries). To perform a single character wildcard search use the "?" symbol. The single character wildcard search looks for terms that match that with the single character replaced. For example, to search for "Gomes" or "Gomez" you can use the search: Gome? to bring back results for both Gomes and Gomez. To perform a multiple character wildcard search use the "*" symbol. Multiple character wildcard search looks for zero or more characters. For example, to search for John, Johnson or Johnsen, you can use the search: John*
      2.2 SEARCH OPERATORS
      Advanced Search supports AND, OR, NOT as search operators. Note: Search operators must be ALL CAPS. Search operator cannot be used with just one term. For example, the following search will return no results: NOT "mary smith"
      2.2a AND
      The AND operator matches orders where two or more terms exist anywhere in the text of a single document. To search for the document that contains "John" and "Smith" use the query: john AND smith
      2.2b NOT
      The NOT operator excludes documents that contain the term after NOT. To search for documents that contain "john smith" but not "mary smith" use the query: "john smith" NOT "mary smith"
      2.2c GROUPING
      Advanced Search supports the usage of parentheses to group clauses to form sub queries. This can be very useful if user wants to control the search logic for a query. To search for either "john smith" or "mary smith" use the query: (john OR mary) AND smith
      2.2d ESCAPING SPECIAL CHARACTERS
      There are several special characters reserved for system syntax in Advanced Search. The current list of reserved special characters is + - && || ! ( ) { } [ ] ^ " ~ * ? : \ If these characters are the part of the search criteria they have to be escaped. To escape them use the \ before the character. For example to search for (1+1):2 use the query: \(1\+1\)\:2

      IMAGE TEXT SEARCH
      3.OCR SEARCH
      OCR (optical character recognition) allows users to perform search by image text. After performing Image Text Search, by any search criteria, user sees the list of all documents image text that contain search criteria within them.

      ADVANCED IMAGE TEXT SEARCH
      Advanced Image Text Search options include wild card searching.

      4.1 WILDCARD SEARCH
